Job Description:
We are seeking a motivated and detail-oriented HR Systems Specialist on a 12-month fixed-term contract to support and enhance our Workday ecosystem across multiple modules. In this role, you will act as a key partner to the People & Culture team, helping to configure, optimize, and maintain HR systems while supporting end-users and contributing to strategic people-systems initiatives. This is an excellent opportunity for someone passionate about Workday and HR technology, who enjoys working in an agile, cross-functional environment.

Key Responsibilities:
  • Design, configure, test, and deploy changes within the Workday landscape, covering modules such as HCM, Absences, Time Tracking, Advanced Compensation, Expenses, Talent Optimization, Learning, and Journeys.
  • Approximately 50% of the work will involve configuration and enhancement of existing modules.
  • Approximately 50% of the work will focus on BAU activities such as change management, reporting, process mapping, and end-user support.
  • Act as the first point of contact for HR and end-users on people-system–related inquiries, providing timely and effective support.
  • Maintain, create, and enhance custom reports, ensuring accurate and actionable insights for stakeholders. Collaborate with teams to understand reporting requirements and deliver solutions.
  • Evaluate, prioritize, and estimate configuration changes and system enhancements in an agile environment, balancing business needs with technical feasibility.
  • Collaborate closely with colleagues across HR, IT, and other business functions to ensure smooth system operations and alignment with organizational objectives.
  • Stay up to date with Workday releases, trends, and best practices, recommending features or process improvements that enhance system efficiency and employee experience.
  • Contribute to the continuous improvement of HR processes and workflows by leveraging system capabilities, data insights, and industry knowledge.
  • Provide guidance and training to HR colleagues and end-users on system functionality, updates, and best practices to maximize adoption and effectiveness.
Team Structure & Working Model:
  • You will join a small, collaborative Core Identity & People Systems team currently comprising Fabian, Rosario, and a colleague currently on maternity leave (expected return late 2026 / early 2027).
  • The role follows a 60% on-site policy. While days on-site are flexible, the lead typically works on-site in Munich on Tuesday, Wednesday, and Thursday.
Qualifications & Skills:
  • 1–2 years of hands-on Workday experience, specifically with Workday HCM (experience from other systems such as Oracle or SAP is not sufficient).
  • Experience in Time Tracking and Absence modules is a bonus.
  • Strong passion for HR technology and Workday, with a proactive desire to expand expertise and take ownership of system improvements.
  • Ability to translate functional HR requirements into practical system configurations and solutions.
  • Analytical mindset with a structured, solution-oriented approach, capable of investigating issues in depth and identifying practical resolutions.
  • Exceptional attention to detail, with a strong focus on quality, accuracy, and compliance in system configurations, data management, and reporting.
  • Comfortable working independently while managing competing priorities in an agile, collaborative environment.
  • Excellent communication skills, able to engage effectively with technical and non-technical stakeholders at all levels.
  • Bonus points for experience with other HRIS platforms (e.g., SmartRecruiters, Officevibe, SuccessFactors) or additional Workday modules.
  • Fluency in English is required; additional language skills are a plus.
Why This Role:
This role offers an exciting opportunity to deepen your expertise in Workday, contribute to meaningful HR system improvements, and work in a dynamic, fast-paced environment. You will play a critical role in enabling HR teams to deliver exceptional people experiences while gaining exposure to multiple HR processes and modules.
